Every year, each gymnast / family is required to complete volunteer participation hours. The number of participation hours is based on the number of hours your daughter trains. For families with more than one child in the competitive program, hours are based on the child at the highest training hours. The gymnast / family has from July 1, 2023 to May 31, 2024 to satisfy all of the required hours.

 

All general hours must be completed by May 31, 2024.  In order to make tracking your volunteer hours easier, we will be using Track it Forward to manage volunteer opportunity sign ups and hours tracking all in one place. To get started, each family needs to create ONE Track it Forward account for their family’s volunteer hour tracking. Participation hours can be completed by BGC Families and any family members who are 18+ (unless otherwise specified). Any volunteer must have completed AODA training.  There is no transfer of participation hours between club members. Participation hours cannot be carried over from one year to the next unless specified otherwise. Only hours completed between July 1, 2023 and May 31, 2024 will be counted towards your 2023/24 Participation Hours. 

 

Families who need to opt out of Participation Hours may do so by paying $40/hr. If you wish to opt out, please e-mail the competitive administrator clubadmin@bgcgym.com. If you have not opted out of hours, but have been unable to complete your participation hours by May 31st, 2024, you will be charged for the outstanding hours at the hourly rate of $40/hr. This will be charged to your Studio Director account. It is your responsibility to ensure that you have completed and submitted your participation hours by the January 15,  2023 and May 31, 2024 deadlines.

Why do parents have to do mandatory participation hours?

  • Helps to foster a sense of community within BGC
  • Helps to minimize our club fees as much as possible
    • BGC hosts 3 large competitions: WAG Qualifier (Dec 8-10, 2023), Rhythmic Spring Cup (Apr 5-7, 2024) and Artistic Spring Cup (Apr 26-28, 2024)- which would be impossible without volunteers.
    • Hosting these competitions generates revenue for BGC that helps to support the competitive program, as our fees alone do not even come close to covering the costs of training our competitive athletes

How can I complete my participation hours?

  • We are using Track it Forward (an online site) to both post volunteer opportunities and track your volunteer hours
  • Every family will need to sign up for a Track it Forward account (just one account per family)  https://www.trackitforward.com/site/burlington-gymnastics-club and click on “click here to register”
  • Volunteer opportunities are posted on Track it Forward to enable families to sign up for tasks. You will receive an email communication when new volunteer opportunities are posted. Every effort is made to ensure all families have an equal opportunity to sign up.
  • Each opportunity will specify whom to contact if applicable.
  • Excess hours completed at BGC’s hosted Meets (Qualifier and Spring Cup) can be used toward your general hours, however 5 general hours must be completed outside of BGC hosted meets. General hours cannot be used in lieu of your mandatory meet hours.

How do I sign up for participation hours?

  1. Check e-mails from the Participation Coordinator and the Track it Forward Coordinator
  2. Check Track it forward for volunteer opportunities throughout the year and for positions at Qualifiers and the Spring Cup. If you have a suggestion on other possible initiatives, contact your Parent Rep.

How can I submit my participation hours?

You will no longer have to complete a form and submit it to our registrar. Your hours can be logged directly on Track it Forward.

How are participation hours determined?

  • Participation hours are based on the number of training hours your daughter trains.
  • If you have more than one daughter training, you are required to complete the highest individual number of participation hours based on your daughter’s training level.
  • All families are required to complete general participation hours. In addition, they are required to complete mandatory meet hours at the winter Qualifier and at Spring Cup in March/ May. Check your participation tracking card and the Registration Package for a breakdown of your required hours

What happens if I don’t complete 100% of my general hours before May 31, 2024?

  • Your Studio Director account will be charged by June 27, 2024 for your outstanding participation hours at a rate of $40/hour.

Who May Participate in Completing the Required Participation Hours?

Participation hours can be completed by BGC Families and Family Members who are 18+ (unless otherwise specified) and who have completed the AODA training.

Mandatory Competition Meet Volunteer Hours

Families are required to complete their mandatory hours at BGC hosted meets.  Families who do not meet their mandatory meet hours will be charged $40/hour for each incomplete meet hour.  General hours cannot be substituted for mandatory meet hours.  Questions/concerns should be directed to your Parent Rep or the Participation Coordinator. As part of your competition participation hours (Burlington Qualifier and Spring Cup) hosted by BGC, all families are required to help with either 1 set-up or 1 tear-down for each competition.

All families, including Rhythmic families, must complete participation hours at the Artistic Qualifier.

All competitive families (Rhythmic/Artistic), may volunteer at either the Rhythmic Spring Cup or the Artistic Spring Cup to fulfill their total Spring Cup mandatory hours.

How Can Competition Participation Hours Be Met?

Competition participation hours can be met in a number of ways. Please make note of the competition dates for 2024, which are also listed under the competitions tab. Families are required to provide hours at BOTH the Qualifier (Dec 8-10, 2023) and at Spring Cup. Spring Cup hours may be completed at either the Rhythmic Spring Cup (Apr 5-7, 2024) or the Artistic Spring Cup (Apr 26-28, 2024). If you are unavailable for one or more of these events, to avoid a charge for incomplete hours, please reach out to the participation coordinator cmcparticipation@bgcgym.com to discuss options.
